Artwork Entry

Entries for consideration to accept for hanging or display will be accepted from Monday 12th July 2021 until Friday 24th September 2021.

Only entries made through Gallery 247 online entry system will be considered. By submitting your works through our online process, you enter into an agreement with The Rotary Club of Portland, Inc. hereafter referred to as “the Organisers” and you agree to comply with these Terms and Conditions.

A non-refundable submission fee will apply, irrespective of the artwork size. Any number of artworks may be submitted, but a maximum of 8 works may be accepted. No painting / print submitted may have a length on any side greater than 1.4 metres.

Artworks not accompanied by an image when entries are closed may not be accepted. Artists whose works are accepted for hanging or display will be notified no later than Thursday 30th September 2021.

If the artwork that has been submitted has been sold by the Artist prior to acceptance a substitute may be submitted in its place. No penalty or additional fee will apply. Upon acceptance, a non refundable fee will apply, per artwork accepted for display.

Accepted paintings must be suitable for hanging, correctly marked and labelled on the back with labels that will be supplied, and be ready for hanging with strong wire (flush not protruding). Hanging wire to be a minimum of 50mm (small frames) or 100mm (large frames) slack, not to be drawn tight.

If the above conditions are not met, paintings might not be exhibited.

Artists of sculptures / 3D artwork must supply CLEAN WHITE STANDS in GOOD CONDITION. All works must be stable, firmly based and capable of being lifted and positioned by a maximum of 2 persons. Small sculptures should be secured to their stands. The selection committee may reject very large works as not appropriate for this exhibition. Maximum wt. 250kg per sq. metre. A work produced in multiple editions should be clearly identified with the edition number and run e.g. 2 of 6.

The organising committee reserves the right to decline works for exhibition if they are deemed unsuitable, unstable, dangerous, offensive, delivered late, or otherwise do not comply with the conditions of entry.

The decisions of the committee and the judges are final and correspondence will not be entered into.

Delivery and Collection

All accepted 3D artwork must be delivered to the Portland Civic Hall Thursday 28th October @ Between 4pm and 7:30pm with white stands.

For all other artwork please see  Delivery Options. Unsold Artwork must be collected from the Portland Civic Hall on Sunday 31st October 2021 from 4pm or sent to depots as detailed in the entry. No responsibility can be taken for uncollected artwork, which will be forfeited one month after the date of the Exhibition.

The Organisers will not meet delivery charges on return of any artwork.

The Organisers will exercise all reasonable care in handling the paintings accepted, but will not be responsible for the loss of or any damage to any works while in the custody of the Organisers.

Insurance against damage, fire and theft on individual works whilst in the Organiser's custody or in transit is the Artist’s responsibility.

Displaying Artworks

The Organisers will display all accepted entries at the Portland Civic Hall, see Location and Dates for details.

The Official Opening times will be:

Gala Opening Friday October 29th 2021 from 7.00pm - 10.00pm

Saturday October 30th 2021 from 10.00am - 4.00pm

Sunday October 31th 2021 from 10.00am - 3.00pm

The Organisers reserve the right to withdraw any work at any time from the Exhibition.


All accepted artwork will be considered for judging for prizes and awards. Each artwork is only eligible to win only one award. All awards are non-acquisitive, the Organisers’ and Judges' decisions are final.

Artwork Sales

The Artist appoints the Organisers as his or her agents for all purposes associated with the exhibition and agrees to allow the Organisers to offer all paintings for sale to the public at the price stated by the Artist on the entry.

Artists must complete the GST declaration as part of the online entry process. Any applicable GST on the sale of a painting is the Artist's responsibility. All marked prices are to be inclusive of any GST where applicable.

The Organisers will deduct 25% commission from all artwork sales. Artists will be paid by Sunday 14th November 2021


The Organisers shall have the right to photograph paintings and publish those photographs for publicity purposes.
